You’ll finish with: a weekly plan that records your fixed constraints, chosen priorities, protected capacity and deferrals.

AI can suggest a week. It cannot know that Tuesday’s “free hour” is actually school pickup unless you tell it. Start with real constraints and keep the final choice yourself.

Set up

Use 20 minutes with chat and a copy of your availability. The exercise does not need live calendar access and should not create events.

Try this example

FICTIONAL PRACTICE MATERIAL
Available work blocks: Monday 2 hours, Tuesday 1 hour, Thursday 2 hours. Tasks: proposal 2 hours, invoices 1 hour due Tuesday, training draft 3 hours due Friday. Meetings already excluded.

Do the task

  1. Count available hours before asking for a plan.
  2. Ask AI to place deadlines first and expose work that will not fit.
  3. Choose what to reduce, move or renegotiate; do not let the model hide overload in tiny time slots.

Your reusable prompt

Propose a weekly plan from these blocks and tasks. Show total capacity versus required time. Do not create calendar events. Offer two ways to handle any shortfall without changing deadlines silently.

PRACTICE INPUT
Available work blocks: Monday 2 hours, Tuesday 1 hour, Thursday 2 hours. Tasks: proposal 2 hours, invoices 1 hour due Tuesday, training draft 3 hours due Friday. Meetings already excluded.

Refine your result

Protect the invoice deadline. Leave the training shortfall visible and suggest the question I should ask its owner.

Check the result

There are five available hours and six hours of work. The plan cannot fit everything without a change. A realistic answer makes that one-hour gap explicit.

Save and reuse

Save your chosen plan and the commitment you need to renegotiate. Compare actual durations at the end of the week.
